JOB SUMMARY: Fawley Bryant Architecture, a full-service architecture firm with offices in Sarasota and Bradenton, Florida, is seeking an
Administrative and Marketing Coordinator. We are looking for a master multi-tasker with excellent communication skills and an upbeat attitude.
The ideal candidate will be able to assist the office, leadership, and marketing in addition to providing a positive first impression to all visitors.
They should be prepared and responsive, and willing to meet each challenge directly. The successful candidate will be a key component of the
team, allowing opportunities for future growth within Fawley Bryant.

ESSENTIAL JOB FUNCTIONS 

Responsibilities include but are not limited to:

Marketing Support:

  • Data entry and maintenance of A/E/C-specific CRM software.
  • Actively involved in the maintenance of all marketing resource materials including but not limited to: brochures, slip sheets, ads,
    resumes, etc.
  • Coordination of marketing activities including photoshoots, email blasts, trade shows, and other initiatives as needed.
  • Preparation and production of proposals, presentations, and submittals.
  • Create and distribute internal communications for bi-weekly firm updates.
  • Assist in organization and implementation of firm events and activities.
  • Updating and management of firm website as needed.
  • Provide communications and marketing support to the team as needed.

General Administrative Support:

  • Greet and assist visitors.
  • Maintain polite and professional communication via phone, e-mail, and mail.
  • Screening phone calls and routing callers to the appropriate party.
  • Providing real-time scheduling support by booking appointments and preventing conflicts.
  • Making travel arrangements, such as booking flights, cars, and making hotel and restaurant reservations.
  • Administrative oversight of staff licensure, monitoring expiration dates and facilitating renewals as needed.
  • Anticipate the needs of others to ensure a positive office experience.
  • Setting up meetings, assisting with food orders, typing of memo notes, setting up lunch and learns.
  • Conference Room Management (bookings, cleanliness, technology assistance)
  • Shipping and Receiving (creating shipping labels, disbursement of incoming packages, etc.)
  • Management of office and pantry supplies including maintaining proper inventory levels and ordering when necessary.
  • Maintaining cleanliness and organization of all common areas of the office as well as management of office assets (Phones, Printers,
    etc.)
  • Office related errands (pantry, outsourced printed materials, holiday gifts, employee celebration items, etc.)
  • Other duties as assigned

SKILLS REQUIRED

  • Ability to immediately implement and follow Company Core Values

  • Willingness to learn and grow
  • Proficient in Microsoft Office and Adobe Creative Suite with an emphasis on InDesign and Illustrator
  • Excellent communication skills, both written and verbal
  • Ability to multi-task and prioritize workload
  • Proactive problem solver with a desire to find creative solutions
  • Perform tasks with an attention to detail

PREFERED SKILLS 

  • Knowledge of Constant Contact
  • Knowledge of WordPress
  • Experience with CRM Management

QUALIFICATIONS

  • 3+ years in an office setting and/or customer service-related atmosphere
  • Must have own vehicle

This Job is full-time and salary is commensurate with experience.
