JOB SUMMARY: Fawley Bryant Architecture, a full-service architecture firm with offices in Sarasota and Bradenton, Florida, is seeking an Architectural Administrative Assistant. We are looking for a master multi-tasker with excellent communication skills and an upbeat attitude. The ideal candidate will have experience working in a construction, engineering, or architecture field. They will be able to assist multiple project managers at one time with tasks such as contract administration, meeting scheduling, preparation and follow-up and project organization. They should be prepared and responsive, willing to meet each challenge directly. The successful candidate will be a key component of the team, allowing opportunities for future growth within Fawley Bryant


Responsibilities include but are not limited to:

  • Act as liaison between PM and firm accounting department to communicate schedule and budget changes
  • Coordination and completion of AIA Contracts for projects which will include working with PM, Consultants and Principals to ensure contract matches proposal of services
  • Prepare, coordinate, and attend meetings, documenting and submitting meeting minutes in an appropriate timeframe
  • Manage multiple calendars at one time, prevent conflicts while coordinating meetings, site visits, etc.
  • Coordinate travel arrangements such as booking flights, cars, and making hotel and restaurant reservations
  • Shipping and transmittal coordination for documents/samples as needed
  • Project file administration requiring consistent review, archiving and organization
  • Ability to continuously demonstrate initiative, good judgement, and handle confidential matters with discretion
  • Consistently display a positive, proficient, and professional appearance and attitude
  • Demonstrate flexibility in responding to work demands
  • Other duties as assigned


  • Ability to immediately implement and follow Company Core Values
  • Proficient in Microsoft Suite including Outlook, Excel, Word and PowerPoint
  • Excellent communication skills
  • Excellent time management-ability to multi-task and prioritize workload
  • Willingness to learn and grow


  • Knowledge of AIA contract software
  • Knowledge in Adobe and InDesign
  • Knowledge of REVIT


  • 3+ years in an A/E/C office setting
  • Must have own vehicle
